This Privacy Policy explains what information we collect, how we use it, and the choices available to you when using Nutrition Reference Pro.

1. Introduction

This Privacy Policy describes how Integrated Nutrition Technologies, LLC, a Missouri company, doing business as "Nutrition Reference Pro" ("Nutrition Reference Pro", "we", "us", or "our"), collects, uses, and shares information when you use the Nutrition Reference Pro service ("Service"). The Service is designed for clinics and health professionals located in the United States. By accessing or using the Service, you consent to the practices described in this Privacy Policy.

2. Information We Collect

We collect the following types of information in order to operate the Service:

  • Account and clinic information: Your name, clinic or business name, and work email address when you register or update your profile.
  • Billing information: Payment information is processed by Stripe. Nutrition Reference Pro does not store complete payment card numbers; Stripe securely handles payment credentials on our behalf.
  • Usage information: Basic logs about how the Service is used, such as pages visited, actions taken within the app, timestamps, browser type, device information, and IP address. We use this information to operate, secure, and improve the Service.
  • Support communications: Emails and messages you send to our support channels, including the contents of your inquiries and our responses.

We may add additional categories of information in the future when we integrate new features or service providers. Any new data collection will be limited to operational, security, compliance, or feature-related purposes.

3. How We Use Information

We use the information we collect to:

  • Provide, maintain, and improve the Service and related customer support.
  • Set up and manage user accounts, workspaces, and subscriptions.
  • Process payments and billing via Stripe.
  • Communicate with you about account-related issues, feature updates, important changes to the Service, receipts, renewals, and security notices.
  • Monitor performance, reliability, and security of the Service.
  • Comply with legal obligations and enforce our Terms of Service.

We do not sell personal information and we do not share data with third parties for advertising or retargeting purposes. Our email communications focus on transactional updates, feature changes, and critical information about the Service.

4. PHI, HIPAA, and Clinical Content

Nutrition Reference Pro is not designed or intended to store or process Protected Health Information (PHI) as defined by HIPAA. We do not act as a HIPAA Business Associate and we do not sign Business Associate Agreements. If users choose to enter PHI into the Service (including free-text fields or custom content), they do so at their own risk and remain fully responsible for complying with HIPAA and other health information privacy and security laws. The Service is primarily designed so that handouts are generated for printing, not for storing long-term patient records. Users are responsible for how printed or exported materials are stored, shared, or incorporated into their own systems.

5. How We Share Information

We may share information as follows:

  • Service providers: With third parties that help operate the Service, including Supabase for database/auth infrastructure and Stripe for payment processing.
  • Professional advisors: With legal, accounting, or other advisors when reasonably necessary to operate our business or comply with obligations.
  • Legal obligations: When required by law, legal process, or to protect our rights and the safety of users or the Service.
  • Business transactions: In connection with a merger, acquisition, or sale of assets, provided appropriate safeguards are in place.

We do not sell personal information and we do not share information with third parties for their independent advertising or marketing purposes.

6. Cookies and Similar Technologies

The Service may use cookies or similar technologies to maintain sessions, authenticate users, improve functionality, enhance security, and measure usage in a privacy-respecting manner. We do not use cookies for third-party advertising or targeted ad tracking. You may manage cookie preferences through your browser settings or any in-app controls, if provided.

7. Data Retention

We retain personal information for as long as necessary to operate the Service, comply with legal obligations, and resolve disputes. After account closure or cancellation, we aim to retain personal account data for approximately 30 days, after which it may be deleted or anonymized, subject to legal, regulatory, or accounting requirements that require longer retention (such as billing records). Backups and logs may retain limited information for an additional period before being cycled out.

8. Data Security

We implement reasonable technical and organizational measures to protect information, including encryption in transit and access controls. However, no system can be 100% secure. Users are responsible for safeguarding their login credentials, devices, and any exported or printed materials.

9. Your Choices and Rights

Users may update account details such as name or email within the Service where supported, or contact support to request corrections or deletions, subject to legal and business obligations. Certain jurisdictions may provide additional privacy rights (e.g., access, correction, deletion). We will make reasonable efforts to honor applicable privacy rights where required by law. Users may opt out of non-essential feature update emails by following the instructions in those messages, but will continue to receive important transactional and security communications.

10. Children’s Privacy

The Service is intended only for users who are 18 years of age or older. We do not knowingly collect personal information from individuals under 18. If we become aware that we have collected such information, we will take reasonable steps to delete it.

11. International Use (US Only)

The Service is intended for use in the United States, and data is stored and processed in the United States. If you access the Service from outside the US, you do so voluntarily and acknowledge that your information will be governed by US laws.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page, and the "Last updated" date will be revised accordingly. For material changes, we may also provide additional notice (such as email or in-app notifications). Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
